FAQ

Answers to what applicants ask most. If yours isn't here, email us and we'll add it.

The basics

What is PhdFit, exactly?

A workspace where six specialist agents help you build a PhD advisor shortlist. You upload a résumé, they rank faculty, explain the match, help you draft outreach, and compile meeting prep. Everything you produce is yours to keep.

Which fields are supported?

Best coverage today is in Computer Science, Engineering, Economics, and quantitative social science. Coverage is growing; if your field is under-represented the match pool will be smaller and the agents will flag low-certainty matches.

Do I need a polished CV first?

No. The Candidate Analyst works with a rough résumé. You can refine it inside the workspace once you see how the signals land.

The matches

Where does the faculty data come from?

Public faculty pages, official department directories, and published papers. We do not scrape private pages or buy data.

How recent is the data?

Faculty signals are refreshed on a rolling 90-day window. Match cards show the last-updated date so you can sanity-check freshness before relying on an "accepting students" label.

Can the agents be wrong?

Yes. The LLMs underneath can mis-read a paper or misjudge trajectory. Every match includes the reasoning chain and the source papers so you can push back in chat and re-rank.

Outreach

Will PhdFit send emails for me?

No. The Outreach Writer drafts, you edit, you send from your own inbox. We deliberately keep the human in the loop — mass-sending generic outreach damages your reputation and the recipient's inbox.

Are the drafts personalized?

Every draft is grounded in a specific recent paper from the target professor. The agent cites the paper by name in the draft and tells you which paragraph references it.

Data and privacy

Do you train models on my résumé?

No. We do not use your content to train any LLM, ours or a third party's.

Can I export or delete my data?

Yes, both are self-serve in settings. Deletion is immediate and includes derived artifacts — profile summaries, shortlists, drafts.

Pricing

What's free?

Profile analysis, ten matches per session, and the basic compare view. That's enough to see whether PhdFit reads your background correctly before deciding to go deeper.

What does Pro unlock?

Unlimited matches, all six agents, outreach drafting with version history, meeting-prep sheets, and shortlist export. $19/month, cancel anytime.
